Overview
Surveys in ScopeStack let you gather information from clients or internal stakeholders and use their responses to drive service recommendations, calculations, and project scoping. They standardize your discovery process and connect it directly to the services you deliver.
Survey Templates vs. Survey Responses
ScopeStack uses the word “survey” in two contexts. Understanding the difference will help everything else in this section make sense.
A survey template is the reusable form you build in Settings. It defines the questions, sections, answer types, and any calculation or recommendation logic. You build a survey template once and use it across many projects.
A survey response is a specific filled-out instance of a survey template, tied to a project or shared externally. When someone fills out a survey, their answers are stored on that survey response. A single survey template can generate many survey responses.
Recommendations are services that the survey template suggests based on responses. You define recommendation rules on the survey template, and when a survey is completed, the platform evaluates those rules to suggest services for the project.
Calculations let you derive numeric values from survey responses. You can add, subtract, multiply, and divide answers to produce values used in recommendations or displayed in results.
What You Can Do with Surveys
- Standardize discovery: Build a repeatable set of questions that covers the information you need to scope a project accurately.
- Drive service selection: Connect question responses to service recommendations so the right services are suggested based on client needs.
- Share externally: Send a survey link to someone outside your organization so they can fill it out without needing a ScopeStack account.
- Attach to projects: Link one or more surveys to a project and use the responses and recommendations to populate the project’s services.
- Calculate derived values: Use calculation rules to produce quantities, scores, or other values from raw responses.
- Assign to teams: Restrict which teams can use a survey template, so the right surveys appear for the right users.
Workflow
- Build a survey template in Settings with sections, questions, calculations, and recommendations. See Building a Survey Template.
- Create a survey response from the template, either within a project or as a standalone survey to share externally. See Sharing Surveys Externally.
- Collect responses from the survey respondent (internal user or external contact).
- Review recommendations generated from the responses and add the suggested services to your project. See Using Surveys in Projects.
Surveys in the Guided Project Creation Flow
When creating a project using the guided workflow, you can add services from a survey during the service selection step. The “Add from Survey” option lets you select from surveys attached to the project and review their recommendations before adding services.
Permissions
Access to surveys is controlled by the settings.questionnaires permission. Users need at least View access to see survey templates and their responses, and Manage access to create or edit them.
