Uploading and Editing Document Templates

Document templates in ScopeStack are Word (.docx), PowerPoint (.pptx), or Excel (.xlsx) files that you upload and manage from the Templates section of your account settings.

Uploading a New Template

Navigate to Settings > Templates > Document Templates and click Add Document Template.

Give the template a name, choose the file type, and upload your file. There is no file size limit on uploads, so complex templates with embedded images or extensive formatting are supported.

Below that row is a drag-and-drop file upload area labeled “Upload Merge Template” with instructions to click or drag a .docx, .pptx, or .xlsx file. A “Filename” section below uses a multi-select creatable field to build the output filename from project data tokens or custom text, with an example filename preview that updates as tokens are added. At the bottom is an “Assign Teams” multi-select field. A green Save button appears in the page header.

When uploading a Tag Template (the standard format), you will see an option called Formatting for Tag Templates. See the Tag Template Formatting article for a full explanation of what this does and when to enable it.

Downloading a Template for Editing

To edit an existing template, download it first:

  1. Go to Settings > Templates > Document Templates.
  2. Find the template you want to edit and click the pencil icon next to its name.
  3. On the edit page, click the Download Current button to download the file.
  4. Open the file in Microsoft Word, PowerPoint, or Excel.
  5. Make your changes.
  6. Re-upload the edited file on the same edit page.

Each row has a pencil icon next to the template name that links to the edit form, where the current file can be replaced by uploading a new version.

When you download and re-open a template, no alert message appears. The file opens directly in the desktop application.

Re-uploading an Edited Template

After making changes in Word (or PowerPoint or Excel), return to Settings > Templates > Document Templates, click the pencil icon next to the template, and upload the revised file on the edit page.

The updated template will be used for all subsequent document generation requests. Existing generated documents are not affected.

Naming and Organization

Template names appear in the document generation dialog, so clear, descriptive names help users select the right template quickly. If your account uses multiple templates for different project types or audiences, a consistent naming convention makes a difference.

File Size

There is no file size limit for template uploads. Earlier versions of ScopeStack capped uploads at 5MB, but that restriction has been removed.

Permissions

The Document Templates (settings.sow_templates) permission under Settings > Roles controls access:

  • View: See the list of document templates and download them for reference.
  • Manage: Upload new templates, edit template settings, and replace template files.
