AI Executive Summary

The Solution Summary and Responsibilities page contains five editable fields that describe your project at a high level. These fields appear in generated project documents and provide context for stakeholders reviewing the scope.

All five fields use a rich text editor that supports Markdown formatting. Field labels may differ on your account if your administrator has customized them.

Some accounts may only display the first two fields (Executive Summary and Solution Summary). Contact your administrator or ScopeStack support if you need access to the full set.

Editing

The fields are editable when the project is in the Building state. Once a project enters the approval workflow, the fields become read-only until the project is sent back for rescoping.

To edit, navigate to the project and open the Solution Summary and Responsibilities page. Make your changes and click Save.

Generating an Executive Summary with AI

The Executive Summary field includes an AI generation button (magic wand icon) in its toolbar. Clicking it sends your project data to an AI model, which returns a draft executive summary based on the services, products, client, and other details configured on the project.

After clicking the button, a progress indicator appears. Generation typically takes 30 to 60 seconds depending on project complexity. When complete, the generated text populates the Executive Summary field. You can review and edit the text before saving.

The AI model receives the following project data to generate the summary:

  • Project name, status, and dates
  • Client name
  • All services and subservices (names, descriptions, quantities, hours, phases, lines of business)
  • Products and materials
  • User Defined Field values
  • Language field content
  • Any existing content in the other summary fields

Customizing the AI Prompt

Account administrators can override the default prompt that guides AI generation. This allows you to tailor the output to your organization’s preferred tone, structure, or emphasis.

Prompt overrides are configured in Settings under the administration area. When creating an override, the current default prompt is shown as a starting point. You can edit it freely. The override applies to all projects on your account.

Administrators can also select which AI model to use for generation. If your account has a Bring Your Own Key (BYOK) configuration for OpenRouter, you can assign a specific API key to this prompt.

Permissions

AI generation requires the Executive Summary permission at the Create level or higher on the user’s role. Without this permission, the generation button does not appear.
