HubSpot Integration

The HubSpot integration pulls deals into ScopeStack to pre-populate projects with opportunity data, and writes revenue back to the deal when a project is submitted for approval. Authentication uses a HubSpot Service Key.

Prerequisites

  • A HubSpot super admin, or a HubSpot user with the Developer tools access permission, to create the Service Key
  • ScopeStack Connected Apps permission at the Manage level

Setting Up in HubSpot

HubSpot doesn’t allow new private apps (now called legacy apps) after October 26, 2026, so new connections use a Service Key. If ScopeStack is already connected with a legacy private app, that connection keeps working and you don’t need to change it.

  1. In HubSpot, click the settings icon, then go to Integrations > Service Keys.
  2. Click Create service key and give it a name that makes it clear it’s the ScopeStack integration.
  3. Click Add new scope, select each scope below, and click Update.
ScopeWhy
crm.objects.deals.readScopeStack reads deal data to create projects.
crm.objects.deals.writeScopeStack writes revenue back to the deal when a project is submitted for approval.
crm.objects.companies.readUsed to associate deals with the correct company record.
crm.objects.owners.readUsed to map HubSpot deal owners to ScopeStack users.

Note: Deals write access is required for revenue write-back. If you do not want ScopeStack to update deal revenue, you can disable this with the Skip Revenue Sync option in ScopeStack.

  1. Click Create, then confirm.
  2. Click the key’s name, click Show, then click Copy.

Configuring in ScopeStack

Navigate to Settings > Account > Connected Apps and click the HubSpot tile. Its About page opens. Click Add Integration.

On this screen: A Configure Integration window with a “How do I set up HubSpot?” link and a single * Hubspot Private Application Access Token field (the asterisk marks it as required). Continue stays disabled until the token is filled in.

Paste your Service Key into the Hubspot Private Application Access Token field and click Continue. The next step, “Select features with which to integrate,” shows CRM already checked, because it is the only feature HubSpot offers. Click Complete. When the window reports “This integration has connected successfully!”, close it to open the new connection.

Configuration Options

Hubspot Private Application Access Token

Your HubSpot Service Key, or the access token of an existing legacy private app. The field’s name predates Service Keys; either one goes here.

Skip Revenue Sync

By default, ScopeStack updates deal revenue in HubSpot when a project is submitted for approval. Enable this option to prevent that write-back. It is on the connection’s Additional Features tab, under CRM Integration Options, not in the setup window.

Verifying the Connection

A connected status means your access token is valid. To confirm data is flowing correctly, open the HubSpot connection under Settings > Account > Connected Apps and check its Integration Activity tab (shown to users with the Connected Apps permission at Manage).

Connecting runs a one-time import of every deal that is open at that moment. After that, an hourly sync picks up deals created or changed since the last successful sync.

Troubleshooting

The connection shows an error and deals stop updating

If your HubSpot connection shows a Connection Error, click (View Activity) beside the status, or open the connection’s Integration Activity tab. A temporary rate-limit error from HubSpot usually clears on its own and the connection keeps syncing. If the error persists for several hours, or references authentication or credentials, the connection will not resume on its own; reconnect it, or contact ScopeStack support with the error text. ScopeStack stops attempting to sync a connection once it enters the error state until it is reconnected, so a connection that has been quietly stale is worth checking here rather than waiting for it to recover.
